Open Shifts

Open shifts are shifts that have no assigned employee. They are part of the Basic Functionality module and cannot be disabled.
They are displayed on the Work Schedule page, in a separate Open Shifts row.


How Open Shifts Are Created

Open shifts can be created in several ways:

1. Manually
— Click on a date in the Open Shifts row.
— Or use the plus (+) icon in the Open Shifts row.

2. Automatically during schedule generation
If when generating a schedule with auto-assignment there are not enough employees to fill all shifts, the system automatically creates the remaining shifts as open (unassigned).

3. By moving shifts from employees
A shift assigned to an employee can be moved to the open shifts pool manually or via bulk actions.


Actions Available for Open Shifts

Assign to an employee

  • Click an open shift and select an employee.

  • Or drag and drop a shift from the open shift pool to an employee, or back.

Automatic Distribution

  • Click the auto-distribution icon (chain/link symbol with two connected circles).

  • The system will automatically assign open shifts to suitable employees.

When clicking on an open shift, you can:

  • Assign it to an employee

  • Delete the shift

  • View shift logs (full history of actions performed with the shift)

  • Edit the shift:

    Available editing options:

    • Change date, start and end time

    • Add, edit, or remove break time

    • Modify base shift rate

    • Add, edit, or remove label, location, or notes


Deleting Open Shifts

Open shifts can be deleted:

  • By clicking on the shift (Delete action)

  • By using the ⛔️ icon in the Open Shifts row

  • Through bulk shift actions


Additional Features

Copying Shifts
Open shifts can be copied using the Copy Shifts function.

Notifying Employees (with “Emergency Shifts and Notifications” module enabled)
Once the module is connected, you can notify employees who are free during these shifts.
Notifications are sent through all available channels: email, push, Telegram.

You can fully customize the message, for example:
“Open bonus shifts available — grab them before someone else does!”

  • Easily fill shifts when employee availability changes

  • Handle understaffed schedules dynamically

  • Cover urgent or last-minute shifts

  • Keep the schedule complete and flexible
