Open Shifts

Open Shifts are shifts that don’t have an assigned employee.
They’re part of the “Basic Functionality” module and can’t be disabled.

You can find Open Shifts on the “Scheduling” page.


🌀 Creating Open Shifts

  1. Manually — by clicking on a day in the “Open Shifts” row.

  2. Using the “…” icon in the Open Shifts row.

  3. Automatically — if you generate a schedule with auto-assignment and there aren’t enough employees added to cover all shifts, the system will create unassigned (open) shifts for the remaining slots.

  4. By moving shifts from employees to the Open Shifts board.

  5. Through bulk actions applied to shifts.


✨ Actions You Can Take with Open Shifts

  • Assign to an employee by clicking on the shift or dragging it from the board onto an employee (and vice versa).

  • Auto-assign using the “Shift Distribution” icon (looks like a link with two connected circles) — the system will automatically allocate open shifts to employees.

When you click on an Open Shift, you can:

  • Assign it to an employee.

  • Delete it.

  • View the shift logs — a record of all actions performed on this shift.

  • Edit the open shift:

    • Change its date, start, and end time.

    • Add, modify, or delete breaks.

    • Adjust the base pay rate.

    • Add, change, or remove tags, locations, and notes.


🧽 Deleting, Copying & Notifying

  • You can delete open shifts by clicking on them or using the “…” icon in the row. Bulk actions are also supported.

  • You can copy open shifts using the Shift Copy functionality.

If you enable the “Emergency Shifts & Notifications” module, you can notify employees about available open shifts.
Employees who are not scheduled to work at that time will receive instant alerts through email, push notifications, and Telegram, with a message like:

“Bonus shifts are available — grab them first!”

You can fully customize the notification text.
