Is there a fee for using the service?
Most features are available for free, however, company owners can buy modules which expand service capabilities.
Is registration possible without a mobile phone number?
A unique mobile phone number must be provided to register. It is linked to an account and can not be used for registering a new account.
Is registration available via social media?
Registration is available via Facebook and Google accounts.
Can the same email/mobile phone number be used to register several accounts?
A unique mobile phone number and email must be used for each account.
What to do if an SMS with the confirmation code did not arrive?
This can happen for several reasons:
1. Some countries have a slow SMS delivery speed. Wait for a couple of minutes.
2. One of the SMS services is temporarily down in your country
3. You entered a wrong phone number or selected an incorrect country. Make sure that you have provided correct information.
If this didn’t help, press the “Resend” button and a new confirmation code will be sent to the phone number. Note that there is a 30 second restriction between requests.
What to do if an email holding the email confirmation link did not arrive?
1. Check if the email has been entered correctly
2. Check the “Spam” section of your email
If that didn’t help, do the following:
1. Press the avatar at on right corner of the Dashboard
2. Press “My profile” button in the list.
3. Press the “Change” button near the email field in the “General information” tab.
4. Press the green tick on the right. The email confirmation link will be resent to your email.
What to do if a phone number or an email is already registered on the service?
Use a different mobile phone number or email.
Can a full name be written in its native language or do Latin characters have to be used?
ShiftOn supports entering names and surnames in any language.
Can a double full name be written in the profile?
ShiftOn supports this feature.The restriction only concerns special symbols (!, “, №, etc). This rule applies to user, company, project and shift template names.
Must the profile be entirely filled out?
“Date of birth” is currently the only required field in the profile, marked by the «*» symbol. Company owners can select which fields are required for its employees. If these fields are not filled out in an employee’s profile, the employer won’t be able to use him in projects and schedules.
Can a country and time zone be manually selected?
Yes. This option is available on the “Edit Profile” page in the “General information” tab. In order to choose a time zone that is different from the country of residence, the “Show all time zones” box must be checked.
Can external notifications be disabled?
All or some types of external notification can be disabled on the profile editing page at the “Notifications” tab. Even if external notifications are deactivated, internal alerts concerning schedule updates and shift requests are still going to be sent to ShiftOn’s “Notifications” section. It can be accessed by clicking a bell-shaped icon on the left corner.
Email notifications do not arrive
Do the following:
1. Check the spelling of the email.
2. Check the “Spam” section of the inbox.
3. Check if email notifications are activated in profile settings.
If everything is correct the email client must be malfunctioning.
How to make notifications arrive via SMS?
This feature is currently unavailable. In the future company owners will be able to buy SMS packages for mobile notifications.
How to change the date and time format?
This can be done by changing the country in profile settings. For example, if an employee from Russia changes his country to the USA, time will be displayed in a “24-hour”, not “12-hour” format, while date will be displayed in a “Date/Month/Year” format instead of “Month/Date/Year”.
How to change ShiftOn’s language?
You can change ShiftOn’s system language during registration and in profile settings. The list of languages is available in the “General information” section. Select the required language and click “Save”. ShiftOn will become available in the chosen language after saving.
Working with the service
What is the purpose of “My files” field?
To upload files requested by the employer. These can be copies of passports, diplomas, etc. Employees can give access to them to the company owner by clicking an icon on the image. In order to remove a file from open access, a request must be sent to ShiftOn team members.
Which file formats can be uploaded?
Image files of GIF, PNG, and JPG format, as well as PDF documents.
Is there a limit to the number of uploaded files?
No, but no more than a single file can be being uploaded at a time.
How to set the time when I can work?
The “When I’m available” page is used for that.
What do availability settings influence?
Administrators and company owners can build work schedules by taking these settings into account. In order to create a schedule properly, availability settings, working hours of project shifts, as well as employee and project time zones must be identical.
Working in a company
What is the difference between company owners, administrators, managers, and employees?
1. Company owners can change employee rights in the company (except for their own), send out invitations, create and edit projects, schedules, and shift templates. Only owners can buy paid modules.
2. Administrators can change employee rights, except for that of owner’s, send out invitations, process requests, edit projects, employee schedules, and shift templates.
3. Managers can edit already created timetables (shorten and extend them, add and remove employees from them), process requests.
4. Employees can view their schedules, send time off and shift related requests.
How to ask for a vacation or a sick leave?
In Shifton’s upper menu there is a “Request Time Off” button. By clicking it one can select the duration of a time off due to a holiday, sick leave or a vacation. Time off work can be taken for a specific number of hours or days. A reason for the absence must be stated in requests and a file that confirms it can be attached.
Can a single employee be in several companies simultaneously?
Yes. For example, an employee can create his own company while being an admin/manager/employee in another.
Company creation and management
Can a regular employee create a company?
Yes, by clicking the “Create company” button and filling out necessary fields.
What language can be used to name a company?
A company can be named in any language.
Can a company be deleted with a new one created?
This feature is currently unavailable.
Is it necessary to verify the identity of a company creator?
What to do if a company with an identical name is already registered?
The service allows creating companies with similar names.
How many companies can be created from a single account?
Currently, only a single one. In the future, a fee is going to be charged for additional companies.
Must all fields in employee profiles be set as required?
Required fields are set according to employer preferences and company policy. System settings allow making any field in an employee’s profile required or unrequired.
Are there limits to basic pay rate and overtime settings?
Employers can select any currency and pay rate for employees.
How many employees can be simultaneously invited to a company?
An unlimited number.
Can an employee from another company be invited?
Yes, by entering the phone number and email of an employee you want to invite to the company.
Can employees be invited by importing their data?
Yes, there are currently several ways of importing employee data from Excel and CSV (.xlsx, .csv) files in order to invite them to the company. The first one is on the “Invite employees” page and requires importing only an employee’s mobile phone number. The second requires entering name, last name, phone, and email into the document. In both cases, information in the uploaded document must be mapped to Shifton’s system fields according to provided examples.
Can information listed in the “Billing address” differ from that stated in the “General Information”?
Yes, but it must contain accurate data for invoice generation.
Must payment information be filled out immediately in order to use modules?
No, there is a trial period for each module, but payment information must be provided once it ends.
Selected statistics modules don’t show project data
This can happen for a couple of reason:
1. There are now employees added to the project and no schedule created
2. An incorrect date range has been selected
3. Employee salary settings haven’t been filled out
4. There were no approved time off requests during the selected date range
Is there a limit to the number of projects?
Currently, only a single project can be created. Additional projects will be available in the future on a paid basis.
How many employees can be added to a single project?
From a single to all company employees. There must be at least a single administrator and employee appointed to a project.
How many administrators and managers can a single project have?
As many as necessary. Employees must have proper rights in the company and all required fields filled out in their profile; otherwise, it is going to be impossible to add them to the project.
Can a company employee create a project?
Yes, If he has rights of an administrator.
Can several countries the public holidays of which will become project days off be selected?
Yes, several countries the public holidays of which are going to be taken into account during schedule generation can be selected in project settings.
Can employees be deleted from a project?
Yes, during project editing. With that said, the will remain among company employees and the employer will be able to reassign them to the project.
Can it view which employees are available on a specific day?
You can view the entire company schedule if you are a company administrator or an owner. In order to do that, you have to go to the “Company schedule” page and select the required day on the calendar.
Can an employee work on several projects simultaneously?
Can project settings be changed after creating a schedule?
Yes, but it won’t affect the already created schedules.
Can several schedules be created for a single project?
Yes, you can create additional project schedules.
What to do if incorrect data was entered during schedule generation?
After a schedule has been created, a list of them can be viewed by clicking the “View schedule list” button. Next, choose the appropriate schedule, click the “Edit” button and make the necessary changes.
How to notify employees about changes in the schedule?
In case of any changes made to the schedule, employees are notified via ShiftOn’s alert system. Email notifications about adjustments to the schedule are activated in profile settings. ShiftOn’s internal notifications can be viewed by clicking the bell-shaped icon in the top left corner.
How do I view the entire company schedule?
On the “Company schedule” page, if you have administrator, manager or company owner rights. In this case, all project schedules are displayed.
Can a shift be created for an employee on a particular day?
Yes. Admins and managers must press “+” near an employee’s name on the “Company schedule” page. Shift duration and the date to which it is going to be added must be stated in a newly opened window. A shift can be created based on an existing template or on custom parameters.
Can a shift last for an uneven time? For example, 9 hours 30 minutes?
What does “split the shift” mean?
A shift can be split into 2 parts, in order to leave the first part and send the second period to the Free Board. Employees can choose which part of it to keep and which to send to the Free Board.
Can I track employee attendance?
Currently, employers can note cases of employees being late or absent, but there is no automated tracking of employee attendance.
How to manually remove/add shifts?
Shifts can only be deleted from the Free Board by clicking the shift and the “Delete this shift” button. Shifts can be added manually by clicking the “+” button that is displayed near all employee names and the “Free Board” field on the “Company schedule” page.
What can be done with the schedule of a fired employee?
Shifts of a laid-off employee can be put on the “Free Board” or deleted. In the first case, you either assign shifts to employees or let them take shifts individually. In the second case, all shifts will be deleted from the timetable.
Can employees be grouped with a senior attached to them?
This feature is currently unavailable.
What is the purpose of the Free Board?
The Free Board is the place for all shifts and shifts which some employees aren’t able to take. These shifts can be deleted or taken by other employees. For example, if they want to work overtime or on a day off.
What payment methods are available?
Payment for additional services can be made via Paypal and payment cards (Mastercard, VISA, American Express).
When is payment for modules made?
An invoice for modules is issued on the first of each month. It must be paid within 5 days. If the payment is late, access to modules is going to be suspended until the debt has been fully paid.
Can the balance be replenished in advance?
Yes, by pressing the “Top-Up” button on the “Company balance” tab in company settings. You can replenish balance a few months in advance or activate automatic payments. In the latter case, funds are going to be withdrawn while there is enough money on the card.
Can a module be deactivated if a month didn’t end yet?
Yes, but it won’t affect the cost of using the module.
How many modules can be used simultaneously?
All available modules can be activated for a single project.
Can a single module be used for all company projects?
Yes, but only within a single company. In the future, separate modules will have to be activated for additional companies.
Where can the list of available modules be viewed?
if you are a company owner, at the “Modules” tab of the “Company settings” page.
